4 steps for a smooth event

When great events come into question, a lot of the question marks are addressed to the planning and preparation phase, and how you put the pieces together. It is fun for people like us, for a lot more others it is a stressful, taunting process, considering the significant planning needed, with the aim to have everything run smoothly  you try to hire a lot of resources for the purposes of the event to avoid any glitches, yet you find yourself only a day before the event unable to wrap your head around all the missing pieces.

How to sharpen the axe to achieve a smooth event?

1. Communication is key:

Developing an efficient, effective communication strategy can make the difference between a ho-hum event and a successful one, you will need to speak to your audience before, during and after the event; prepare reminder emails contains information that can make it as easy as possible for the attendees to get to and navigate the event, like the venue location, parking instructions, event agenda -including intermissions-, prepare handouts, and after the event is done ask for feedback, this is how to make your next event extra special and how you know what you can pat yourselves on the shoulder for.

2. They say the devil is in the detail:

When you think about everything down to the smallest detail you can manage the event flow, prepare provisions at the entrance) and a nice photo corner, activate the early birds check-ins and fast passes, make a walkthrough by the bathrooms and the venue facilities, revisit the music playlist, address what the team is going to dress, how and who will receive and greet your guests, double check your AV equipment and if the mics don’t whistle all the way through the event you are doing it the blitz production way.

3. Plan for the unplanned:

It seems preposterous to know what to do in situations you made every possible step to achieve its impossibility right? No, not right!!
If there are about 10,400,000 results on google when you search “Alien invasion risk assessment.
you may need to double check the weather before the event and prepare for a little rain, review the logistics and security checks, check in with you speakers if any of them need any extra attention

4. Follow the Duck face rule:
brown duck in body of water

It is the most famous rule in the event making industry and that is for a good reason, creating an event is not an easy task so freaking out about it does not make it any easier, So wear the duck’s calm and peaceful face during your event even though you may be paddling vigorously underwater to keep yourself afloat.

The end …
